When learning how to write a business letter we must first have the right tools for the job. First you want to use your company's letter head to write and print the business letter out on.

You will also need to learn how to set out your business letter, and how to place certian pieces of information.

At the top of the business letter a couple lines down from the top you want to put the date. Leave a couple more lines then put the name and address of the person or business that you are writing to. Be sure to put the full address of the person or business, as you want to write this letter as professional as possible. After all, it is a business letter that you are writing. This will reflect well on your business letter writing skills and the company that you work for. Start the business letter with dear madam/sir or if you know the person personally their first name.

Start to write the business letter with the reason for writing. It may be a complaint about a late payment to the company, a general complaint, a letter advising a client of changes to the company or a letter of thanks, whatever the reason you need to put it up the top, so that it is the first part of the letter that the person reads. This way the recipient will know the reason for why you have had to write them a business letter.

The next paragraph in the business letter that you have had to write, is the explanation of why you are writing the business letter. This paragraph should contain as much information as possible for the recipient. Try to keep your sentences short and concise so as to keep the readers attention. Keep the letter honest and factual, and don't sway from the subject of the business letter. It is important for this paragraph to contain all information on why you are writing, as this paragraph will be in the middle of the page and needs to retain the readers attention, so that you can get your point across, or make a good sales pitch or complaint, whatever the case may be.

The next paragraph within your business letter should contain information on anything that is enclosed with the business letter. You may want to enclose a brochure advertising upcoming specials, or a pamphlet of some sort marketing your business, or just something for the recipient to read through once they have finished reading your letter.

At the completion of the business letter you should leave an open invitation for the recipient to call the company, or you personally should they need any help interpreting the business letter that you have sent. It is a good idea to do this as it makes you seem like a very approachable person, which is a good thing if you are writing about an outstanding payment, or if your business letter may raise some sort of dispute about the contents of the letter. This will ensure that you have achieved your goal of having the letter contain only the facts of the matter at hand, and that any other issues that may be raised can be discussed one on one.

Always end the business letter with yours sincerely. This shows politeness on your part and always ensures that you sign the letter personally. If you have taken the time to write a business letter to a specific person, it is a nice touch to sign the letter personally. After leaving a few lines type your name then directly underneath write in your position.
