How To Use Excel

Many people in fact need to know how to use excel, so this article is for any of those people. Using excel has become a big part of todays society in the workplace.

When learning how to use excel we must first know what excel is used for. It is mainly used for spreadsheet type documents or tables. It is easy to learn how to use excel and the program itself is very valuable for everyday use.

The first thing we want to do in regards to excel, is open up a new workbook. Each workbook contains 3 worksheets; these are identified by the tabs down the bottom of the workbook labeled sheet 1, sheet 2 and sheet 3. You can add in extra worksheets by right-clicking on the sheet tab and selecting insert then worksheet. When right clicking on the tab there are also other options like rename which is particular useful if you are using one workbook for many different tasks. You can name the worksheet so you know what information is contained in that particular sheet. The columns are in alphabetical order and the rows are numbered. Each intersection of the letter and the number is called a cell which is used to hold the information. You can widen the columns by placing you mouse pointer directly on the line between the columns and holding down the left mouse button and dragging it. When the mouse pointer is in the correct position it will turn into a black double headed arrow. The rows can also be widened using the same technique. You can widen both the rows and columns by selecting the entire row or column. This is done by clicking on the actual number or letter. When you do this the entire row or column will highlight then you can drag them as wide or small as you want. Individual cells can be formatted by selecting that cell and using bold, italic or changing the font the same way you would with ms word. You can right click on any cell and format that particular cell, so that it is in date format only. You also have the option of choosing the actual date format. This can be done for currency, accounting, date, time, percentage, fractions and many more. The currency is particularly useful if you are doing a cash flow, projection or budget. The worksheet puts all the decimals and dollar signs in when the cells are formatted for this.

You can also add in graphs and pictures into your document. Remember that excel will add in the graph where ever the mouse pointer is. You use the mouse to select the data range that you want shown in your graph and click next. When you have finished labeling the graph, both axis, choosing you type of graph and it has the range of data, excel will insert the finished graph. If it is inserted over the top of text it can be easily moved by clicking within the graph and while you finger is still on the mouse move it.

When you learn how to use excel, you will also learn how to filter results from long tables. You have to specify criteria for this and the search range. Excel will then bring up the results of the filter. This function of excel is useful, for example, if you were looking for people in a specific area.

Excel also has advanced calculator features that you can use to total a range of cells or divide 1 cell by another and so on. It can average out figures and show percentages.
